STUDIO TERMS & CONDITIONS
  1. All introductory offers, casual classes, class packs and memberships are non-refundable and non-transferable between clients. No refunds will be provided. No extension will be permitted to the specific valid time frame unless for medical reasons. A medical certificate may be required.

1. Memberships

We offer the following Club Memberships:

  • 4 Classes per month
  • 8 Classes per month
  • 12 Classes per month
  • Unlimited Classes per month
  • Payment Cycle: All memberships are charged every 28 days. Classes must be used within the payment cycle, as unused classes will not roll over.
  • Auto-Pay: Payments are processed automatically on Day 1 of each cycle and will continue to run scheduled autopays until Heartbeat High is notified in writing.
  • Termination: A minimum of 14 days' written notice is required to terminate a membership. Scheduled payments during the notice period will be charged.
  • Members Extra: Exceeding your class limit costs $27 per additional class. This can be prepaid via the HBH 2.0 app under Members Extra. Unpaid classes will be charged automatically.
  • Membership Suspension: You may pause your membership for up to 56 days per calendar year (minimum 7 days per request). Requests must be emailed at least 72 hours in advance. Memberships must be active to apply a suspension.

    Active defined as not in a state of termination or unpaid.
  • Non-Refundable: Memberships are non-refundable and non-transferable.
  • Bring a Friend: Members Perk allows every Club member to bring a brand new client to attend a class at Heartbeat High for free each month. Each new friend must create their own Heartbeat High account and agree to our studio terms and conditions before attending. Email hello@heartbeathigh.com.au with your friends account name for their free pass to be added.
  • Membership Changes: All membership upgrades or downgrades must be down with 14 days written notice. Promo codes can not be applied to downgraded memberships.

2. Offers and Discounts

  • Introductory Offer (Intro Teaser): New clients may purchase the Intro Teaser once. It is non-refundable, non-transferable, and valid for 14 consecutive days once activated from the date of your first class booking. No pause or extension is permitted.
  • Student Discount: Students can receive a 10% discount on memberships. A valid student ID must be emailed to hello@heartbeathigh.com.au to qualify.
  • Class Packs: All casual classes, class packs, and promotional packs are valid for 12 months unless otherwise stated. Extensions are only granted for medical reasons, requiring a valid certificate submitted before the expiry date.
  • Gift Cards: Can be used as credit for classes or merchandise. They are non-refundable, and all sales are final, as per Australian Competition and Consumer Commission
    regulations.
  • Promo Codes: Promotional codes are limited to one use per customer unless specified otherwise. Heartbeat High reserves the right to charge the standard class fee where the promotional code is misused. Misuse includes, but is not limited to, an individual using the same promotional code more than once.

3. Class Bookings

  • How to Book: Bookings must be made through the MindBody app, Heartbeat High 2.0 app, or the website.
  • Private & Corporate Sessions: Must be booked via email at hello@heartbeathigh.com.au
  • Payment: Must be made prior to booking and attending a class.
  • Waitlist: If a class is full, you can join the waitlist. If a spot opens, you’ll be notified via text and/or email up to an hour before class. If you no longer wish to attend, please remove yourself from the waitlist to avoid being automatically added. Cancellation policy applies.

4. Cancellation Policy

  • Early Cancel: Cancel at least 8 hours before AM classes or 4 hours before PM classes to avoid losing your class credit or incurring fees. Your class credit will be reissued for use within your current cycle.
  • Late Cancel: Cancelling less than 8 hours (AM) or 4 hours (PM) before the class results in:

    Limited Memberships: Loss of the class credit.
    Unlimited Memberships: $10 fee
  • No-Show Fee: Failure to cancel or attend a class incurs a $20 fee for all memberships.

    Heartbeat High reverse the right to charge fees to your account on our secure booking system,
    Mindbody.

5. Studio Policies

  • Minimum Participants: Classes require at least 3 participants to run. If canceled, clients will be notified via text at least 2 hours in advance, and their session will be re-credited.
  • Punctuality: Arrive on time. Late arrivals (more than 5 minutes) will not be permitted to join. New clients may be prohibited upon late arrival at the instructor’s discretion.
  • Safety Gear: Grip socks are mandatory for hygiene and safety. No sneakers are allowed in class.
  • Mobile Phones: Phones must be silent and stored in lockers during class. In the rare circumstance you are awaiting an urgent call, notify the instructor before class.
  • Instructor Discretion: Instructors may restrict clients from specific classes for safety reasons or lack of medical clearance.

6. Special Circumstances

  • Government Closures: Memberships and class packs can be paused during government-mandated closures. Additional suspension periods beyond this count
    toward your 56-day allowance.
  • Mask Mandates: Classes will continue as normal during mask mandates. Medical exemptions require a valid certificate.

7. Liability and Personal Belongings

  • Risk Acknowledgment: Classes may be physically strenuous, and participation is voluntary with full knowledge of the risk of personal injury or death.
  • Personal Belongings: Heartbeat High is not responsible for lost or stolen items.

8. Fees

  • Dishonor Fee: $10 for declined payments.
  • Late Cancel Fee: $10 for unlimited memberships.
  • No-Show Fee: $20 for all memberships.
  • Additional Class Fee: $27 per extra class for limited memberships.
  • Restricted Studio Access: Clients booking into restricted-access locations will incur a $35 casual class fee.

  1. Class bookings are essential and must be made through the MindBody app, Heartbeat High app, or directly through the studio.
  1. If a class is fully booked you are able to be added to a waitlist and if any cancellations may occur, you will be notified up to an hour before the class starts. If you add yourself to the waitlist, you are committing to attend that class should a spot open up. Please make sure you remove yourself from the waitlist if you no longer wish you attend.
  1. Cancellation Policy

    Classes between 5.30am – 11.30am
    : Cancellations or rescheduling of classes need to be made more than 8 hours prior to your class start time.
    Classes from 12pm onwards: Cancellations or rescheduling of classes need to be made more than 4 hours prior to your class start time.

    Casual classes & class packs: If you late cancel a class you will be lose your session. If you do not show up to class you will lose your session and be charged a $20 no show fee.

    Please note if you are on a Heartbeat High Club Membership, a different late cancellation policy may apply. Please read relevant T&Cs.

    Definitions:

    Late Cancel – you cancel your class within the 4 or 8 hours prior to start time via Mindbody, HBH app or online (depending on time of your class, please see above)
    No Show – you do not cancel your class via to start time and do not turn up
    *Please be considerate to the and fellow Pilate lovers by cancelling your class if you cannot attend.
  2. Changes to your schedule via text message, voicemails or phone calls will not be accepted. Please do not hesitate to ask for assistance if unsure on how to cancel or reschedu
  1. A class must have a minimum of 3 participants to run. Heartbeat High reserves the right to cancel a class if need be. You will be contacted by either phone or email at least 2 hours before the commencement of the class. You will not be charged and your session will be re-credited to your account.
  1. To ensure the least amount of disruption to fellow clients and for your own safety, if you are more than 5 minutes late you will not be permitted entry into the class.
  1. Mobile phones are not permitted in the studio – please keep switched off or on silent mode in your bag or locker.
  1. Grip socks must be worn in all Reformer classes. Normal or grip socks must be worn in all floor classes. If you require sneakers for medical reasons during Bump n’ Grind, please ensure they are indoor only and clean.
  1. If Heartbeat High is forced to close due to government lockdown regulations, you will be contacted via email and given the option to extend your class pack for the term of the closure period
  1. If masks are enforced by the government for our health and safety, Heartbeat High will still operate as normal. A medical certificate or exemption letter will be required if a mask cannot be worn. Class packs will not be extended during this time.
  1. Heartbeat High is in no way responsible for the safekeeping of your personal belongings while you attend class. You understand that classes may be physically strenuous and you voluntarily participate in them with full knowledge that there is a risk of personal injury, property loss or

  1. Membership Start Date
    • Membership can begin on the purchase date or a nominated future date.
  2. Billing
    • All memberships are billed monthly in advance.
    • If a payment fails due to card issues, a $10 dishonour fee applies. An alternative payment method must be provided within 7 days.
  3. Additional Class Fees (Heartbeater 4/8/12 only)
    • Additional classes beyond the membership limit will incur a discounted casual fee of $27 per class.
  4. Non-Refundable & Non-Transferable
    • All memberships are non-refundable and non-transferable. Extensions are not granted except for medical reasons with a certificate.

  • Committed Club memberships are subject to a minimum of 24 week lock-in contract after which termination can be arranged in writing. 
  • Early exit from Committed Club Membership will be charged a break fee equivalent to one month.
  • In the rare circumstance of long term injury or illness that prevents the use of our services, email hello@heartbeathigh.com.au. Early termination will take effect from the date we receive written confirmation from a medical doctor

  1. Grip socks must be worn in all Reformer classes. Normal or grip socks must be worn in all floor classes. If you require sneakers for medical reasons during Bump n’ Grind, please ensure they are indoor only and clean.
  1. If Heartbeat High is forced to close due to government lockdown regulations, you will be contacted via email and given the option to extend your class pack for the term of the closure period
  1. If masks are enforced by the government for our health and safety, Heartbeat High will still operate as normal. A medical certificate or exemption letter will be required if a mask cannot be worn. Class packs will not be extended during this time.
